What we collect and why
When you book or ask for a quote we collect your name, phone number, email address, the address and postcode of the job, what you want collected and any photos you send. On the quote form we also ask a few questions about the job (for example which floor it is on, how we get access, and whether there is anything hazardous such as asbestos), when you would like it done, how you would like us to reply, and, if you choose to tell us, whether it is for a business and how you heard about us. We use it to price, schedule and carry out the job, to send you a confirmation, a quote and a waste transfer note, and to invoice you. The legal basis is performance of a contract, and our legitimate interest in running the business.
Who sees it
Our office and the crew doing your job. Your request is stored in our office system, where we price and manage jobs, and in our email. If the office system can't be reached at that moment, a copy is held on our web server, outside the public website, until it is passed on, and then deleted. Our email and hosting providers process it on our behalf. We never sell or share your details for marketing. Waste transfer notes are kept for two years as the law requires.
Cookies and storage
This website sets no cookies. The booking page saves your unfinished booking in your own browser's storage so you can come back to it; nothing leaves your device until you press Pay & book. The quote form keeps what you typed in that browser tab until it has gone through, only so it can be put back if a detail needs correcting. Fonts, images and scripts are all served from our own server; card payments are handled by Stripe, who receive your card details directly.
Customer accounts
Our office can set up an online account for a customer, by invitation. Accounts are on account.lmwaste.co.uk, our separate account site, not on this website. Signed in, you can see your bookings, quotes and waste transfer notes, and, if you manage the account, its invoices and payments.
An account holds the people we have added to it (name, email address, mobile number and what each person may do), the addresses you have saved, and a history of the account: sign-ins, and things such as quotes accepted or work put on account. For each sign-in we keep the time, the kind of device and browser, and a scrambled (hashed) copy of its internet (IP) address, so that we can spot misuse.
The account site uses two cookies, both strictly necessary: one keeps you signed in, and one keeps its forms secure while you use them. Neither is used for tracking or advertising, so we don't ask for consent to them.
How long we keep it:
- device and browser details, and the scrambled internet addresses: 90 days;
- the account history: 2 years;
- the parts of that history about money (account terms, work put on account, monthly invoices): 6 years, as HMRC requires;
- sign-in emails and old sign-in links: 30 days.
The people on the account and your saved addresses are kept while the account is open.
To close your account, ask us: email info@lmwaste.co.uk or call 07854 266268. Once we close it, every sign-in on the account stops working at once. Your saved addresses, and the records of your jobs, documents and invoices, stay in our office system for the periods above and for as long as the law requires, because we need them to run and account for the work.
Your rights
You can ask what we hold, ask us to correct or delete it, or object to how we use it, by emailing info@lmwaste.co.uk. You can complain to the Information Commissioner's Office at ico.org.uk.
